Venus Health Academy Coaching Agreement

This Coaching Agreement sets out the terms under which Venus Health Academy provides holistic health coaching, online coaching, wellness guidance, health education, personalised health protocols, review sessions and related support.

By booking, purchasing, attending, participating in, or receiving coaching services from Venus Health Academy, you confirm that you have read, understood and agreed to this Coaching Agreement.

1. Parties

2. Nature of the Coaching Relationship

Venus Health Academy provides holistic health education, wellness coaching, lifestyle guidance and support to help clients gain clarity around their health, wellbeing and next steps forward.

Coaching may include discussion around nutrition, lifestyle, hydration, stress, sleep, digestion, supplementation, detoxification, movement, emotional wellbeing, general health education and review of client-provided health information.

Venus Health Academy does not diagnose, treat, cure, prevent or reverse disease. Coaching is not a substitute for medical care, medical diagnosis, emergency care, psychotherapy, counselling, or treatment from a qualified healthcare professional.

You remain responsible for your own health decisions at all times.

3. Scope of Services

Your coaching package may include one or more of the following, depending on what you have purchased:

  1. a pre-consultation form;
  2. a discovery call;
  3. one-to-one online coaching sessions;
  4. health and lifestyle review;
  5. review of GP test results or other client-provided reports;
  6. personalised health protocol;
  7. protocol explanation session;
  8. follow-up reviews;
  9. email support;
  10. group coaching sessions;
  11. access to educational materials;
  12. access to online courses, downloads, events, or community spaces, where included.

Only the services expressly stated in your purchased package are included. Anything not clearly stated as included is not included.

4. Important Health Disclaimer

Venus Health Academy provides educational and holistic wellbeing support only.

We do not provide medical diagnosis, emergency healthcare, prescription advice, pharmaceutical advice, mental health crisis support, or treatment for any medical condition.

You agree that you will not use coaching as a replacement for your GP, consultant, specialist, pharmacist, therapist, emergency services, or any other qualified healthcare professional.

You must seek medical advice before making changes to medication, treatment plans, supplements, diet, fasting, detoxification, exercise, or any health-related routine, especially if you have a diagnosed medical condition, are pregnant, breastfeeding, taking medication, undergoing medical treatment, awaiting surgery, or under the care of a medical professional.

If you feel seriously unwell or believe you may be experiencing a medical emergency, you must contact emergency services immediately.

5. Client Responsibility

You agree to take full responsibility for:

  1. the accuracy of the information you provide;
  2. completing forms honestly and fully;
  3. disclosing relevant medical history, medications, supplements, allergies, diagnoses and symptoms;
  4. seeking medical advice where appropriate;
  5. deciding whether to follow any educational guidance;
  6. your own lifestyle, health and wellbeing choices;
  7. attending sessions on time;
  8. engaging respectfully and responsibly;
  9. asking questions if anything is unclear;
  10. informing Venus Health Academy if your health circumstances change.

Venus Health Academy cannot be responsible for outcomes affected by incomplete, inaccurate, withheld, or misleading information provided by the client.

6. Pre-Consultation Forms and Client Information

You may be required to complete a pre-consultation form before coaching begins.

This form must be completed honestly and in sufficient detail. If the form is incomplete, unclear, or not submitted on time, your session, protocol, or coaching start date may be delayed.

Venus Health Academy reserves the right to pause, postpone, refuse, or cancel coaching if we do not receive the information needed to provide appropriate support.

7. Review of Medical Tests and GP Results

Where Venus Health Academy reviews GP results, laboratory tests, blood tests, scans, medical reports, or other health information, this is for educational and holistic interpretation only.

Any comments made are not a diagnosis and must not be treated as medical advice.

You are responsible for discussing medical results with your GP, consultant, specialist, or qualified healthcare provider.

8. Coaching Sessions

Coaching sessions may take place by telephone, video call, Google Meet, Zoom, online platform, or another agreed method.

You are responsible for:

  1. attending on time;
  2. ensuring your internet, phone, camera and microphone work properly;
  3. being in a private and suitable environment;
  4. giving your full attention during the session;
  5. not recording the session unless written permission has been given;
  6. ensuring you are physically and emotionally able to participate.

If you are late, the session will still finish at the original scheduled end time.

If you do not attend, the session may be treated as used and no refund will be given.

9. Rescheduling Policy

If you need to reschedule a session, you must give at least 48 hours’ notice.

Requests made with less than 48 hours’ notice may be refused and the session may be treated as used.

Venus Health Academy may allow one reschedule at its discretion, but repeated rescheduling, delays, missed appointments, or failure to attend may result in termination of coaching without refund, except where required by law.

Venus Health Academy may also reschedule a session where necessary due to illness, emergency, bereavement, technical issues, business needs, or circumstances beyond our control.

10. Missed Appointments and Late Attendance

Strong boundaries are essential to the coaching process.

If you miss a session without reasonable notice, the session will be counted as used.

If you repeatedly cancel, reschedule, delay, miss appointments, or fail to complete agreed steps, Venus Health Academy reserves the right to pause or terminate the coaching relationship.

No refund will be provided for missed appointments, unused sessions, incomplete participation, lack of engagement, or failure to follow through, except where required by law.

11. Communication Boundaries

Communication will take place only through the communication channels included in your package.

Unless expressly stated in your package, coaching does not include unlimited messaging, WhatsApp support, text support, voice note support, daily check-ins, emergency support, out-of-hours support, or immediate responses.

Standard support is provided by email unless otherwise agreed in writing.

Venus Health Academy aims to respond to client emails within a reasonable time, usually within 2 to 3 working days, excluding weekends, bank holidays, annual leave, illness, emergencies and closure periods.

Messages sent outside agreed channels may not be answered.

12. WhatsApp, Text and Voice Note Boundaries

WhatsApp, text message and voice note support are not included unless clearly stated in your package.

If WhatsApp or text support is included, it is for brief coaching-related clarification only. It is not for long messages, repeated questions, emotional dumping, crisis support, emergency health issues, medical emergencies, harassment, pressure, or out-of-hours access.

Venus Health Academy reserves the right to withdraw WhatsApp, text or voice note access if boundaries are crossed.

13. Out-of-Hours and Emergency Boundaries

Venus Health Academy does not provide emergency support.

You must not contact Venus Health Academy for urgent medical issues, crisis support, medication emergencies, severe symptoms, mental health crisis, safeguarding emergencies, or life-threatening concerns.

If you need urgent support, contact your GP, NHS 111, emergency services, your local crisis team, or the appropriate medical professional.

Messages received outside working hours will be responded to only during working hours and within a reasonable timeframe.

14. Respectful Communication

All communication must be respectful, clear and appropriate.

Venus Health Academy will not tolerate:

  1. abusive language;
  2. aggressive behaviour;
  3. repeated boundary-pushing;
  4. harassment;
  5. intimidation;
  6. manipulation;
  7. threats;
  8. excessive messaging;
  9. inappropriate demands;
  10. disrespectful communication;
  11. discriminatory behaviour;
  12. pressure to respond outside agreed times or channels.

If Venus Health Academy considers your behaviour inappropriate, unsafe, disrespectful, or disruptive, we reserve the right to pause or terminate the coaching relationship immediately.

No refund will be provided where termination is due to client misconduct, except where required by law.

15. Package Boundaries

Your package includes only what is stated on the sales page, invoice, written offer, booking page, or agreed package description.

Additional support, extra sessions, protocol revisions, extended reviews, extra emails, additional research, extra forms, additional calls, or continued support beyond the agreed package may require an additional fee.

Venus Health Academy is not obliged to provide extra support outside the agreed package.

16. Protocol Delivery

Where your package includes a personalised health protocol, Venus Health Academy will aim to prepare and deliver it within the timescale stated at purchase or communicated to you.

Delivery times may vary depending on the complexity of your case, the completeness of your information, workload, holidays, illness, or other circumstances.

If you delay in providing information, completing forms, submitting tests, or attending the required call, your protocol may be delayed.

Protocols are personalised educational documents and are not medical prescriptions.

17. Protocol Use and Client Implementation

You are responsible for deciding whether and how to implement any protocol, guidance, recommendation, or educational material.

You agree to check with your GP, consultant, pharmacist, specialist, or other qualified healthcare professional before starting supplements, changing medication, changing diet, fasting, detoxing, or altering any health-related routine.

You must stop any practice that causes concerning symptoms and seek appropriate medical advice.

Venus Health Academy is not responsible for harm caused by misuse, overuse, incorrect use, failure to follow safety advice, failure to seek medical advice, or combining recommendations with medications, treatments, supplements, or health conditions without appropriate professional guidance.

18. No Guaranteed Results

Venus Health Academy does not guarantee any specific health outcome, symptom improvement, diagnosis, weight change, emotional change, lifestyle result, financial result, spiritual result, medical result, or personal transformation.

Results vary from person to person and depend on many factors, including medical history, lifestyle, consistency, environment, stress levels, diet, sleep, medication, existing conditions, mindset, personal responsibility and other factors outside our control.

Testimonials, case studies, examples and client stories are illustrative only and do not guarantee the same or similar results.

19. Payment Terms

Payment must be made in full before coaching begins unless Venus Health Academy has agreed a payment plan in writing.

If a payment plan is agreed, you are responsible for paying all instalments on time.

Late, missed, declined, reversed, disputed, or unpaid payments may result in suspension of sessions, protocol delivery, membership access, community access, downloads, course access, or other services.

Venus Health Academy reserves the right to recover unpaid fees.

20. No Refund Policy

All coaching purchases are final and non-refundable, except where required by law.

This includes, but is not limited to:

  1. discovery calls;
  2. coaching sessions;
  3. health protocol packages;
  4. personalised protocols;
  5. group coaching;
  6. online coaching;
  7. digital downloads;
  8. courses;
  9. memberships;
  10. online events;
  11. deposits;
  12. payment plans;
  13. discounted packages;
  14. promotional offers.

Refunds will not be provided because:

  1. you change your mind;
  2. you do not attend;
  3. you arrive late;
  4. you do not complete forms;
  5. you do not use the service;
  6. you do not implement the guidance;
  7. you do not complete the programme;
  8. you do not achieve the outcome you hoped for;
  9. you fail to communicate;
  10. you delay the process;
  11. you breach this Agreement;
  12. your access is terminated due to misconduct or non-payment.

Nothing in this Agreement affects any statutory rights that cannot legally be excluded.

21. Digital Content and Immediate Access

Where your purchase includes digital content, downloads, courses, recordings, templates, PDFs, membership resources, protocol documents, or online materials, you agree that access may begin immediately.

By purchasing and accessing digital content, you acknowledge that once access has begun, the purchase is non-refundable, except where required by law.

22. Confidentiality

Venus Health Academy will treat your personal information and coaching discussions with respect and confidentiality, subject to legal and safeguarding obligations.

Confidentiality may be broken where:

  1. we are required to do so by law;
  2. there is a safeguarding concern;
  3. there is a risk of harm to you or another person;
  4. there is a medical emergency;
  5. information is required for legal, insurance, professional, or regulatory purposes;
  6. you give permission for information to be shared.

You agree not to share private coaching materials, private discussions, private recordings, private group content, or confidential information belonging to Venus Health Academy or other clients.

23. Community and Group Coaching Boundaries

Where your package includes group coaching, live sessions, community access, or membership community access, you agree to behave respectfully.

You must not:

  1. share another member’s private information;
  2. give medical advice to other members;
  3. promote your own services without permission;
  4. spam the group;
  5. post abusive, offensive, discriminatory, harmful, misleading, or inappropriate content;
  6. record or screenshot private community discussions without permission;
  7. use the community to harass, pressure, criticise, or target others.

Separate Community Guidelines may also apply.

Venus Health Academy reserves the right to remove you from community spaces or group sessions if your conduct is inappropriate, unsafe, disruptive, or in breach of this Agreement.

24. Intellectual Property

All materials provided by Venus Health Academy remain the intellectual property of Venus Health Academy unless otherwise stated.

This includes protocols, downloads, templates, forms, PDFs, videos, recordings, slides, worksheets, course content, membership content, written materials, branding, images, logos, frameworks and methods.

You are granted a personal, non-transferable licence to use the materials for your own personal use only.

You must not copy, share, sell, reproduce, publish, teach, upload, distribute, modify, rebrand, adapt, or commercially exploit any Venus Health Academy materials without written permission.

You must not use Venus Health Academy materials to create your own course, coaching programme, membership, download, protocol, training, workshop, community, or paid service.

25. Recordings

Venus Health Academy may record group coaching sessions, webinars, workshops, trainings, events, or course sessions.

By attending group sessions or events, you understand that your name, voice, image, questions, comments, or contributions may appear in the recording.

You must not record private sessions, group sessions, community sessions, workshops, events, or coaching calls without written permission.

26. Testimonials and Feedback

If you provide a testimonial, review, success story, feedback, message, comment, screenshot, or written statement, you give Venus Health Academy permission to use it for marketing, educational, promotional, website, social media, training, or business purposes.

We may anonymise or edit testimonials for clarity, length, grammar, confidentiality, or privacy.

You may ask us not to use your testimonial by contacting us in writing.

27. Right to Refuse or Terminate Coaching

Venus Health Academy reserves the right to refuse, pause, cancel, or terminate coaching where we believe it is appropriate to do so.

This may include situations where:

  1. your needs are outside our scope;
  2. you require medical, psychiatric, emergency, or specialist support;
  3. you fail to complete required forms;
  4. you repeatedly miss or reschedule sessions;
  5. you fail to pay;
  6. you breach this Agreement;
  7. your communication is abusive, excessive, disrespectful, unsafe, or inappropriate;
  8. you ignore agreed boundaries;
  9. you misuse our materials;
  10. continuing the coaching relationship is no longer suitable.

If coaching is terminated because of breach, misconduct, non-payment, inappropriate behaviour, or repeated boundary violations, no refund will be provided, except where required by law.

28. Pause or Delay of Services

Venus Health Academy may pause or delay services where necessary due to illness, emergency, bereavement, annual leave, technical issues, business needs, platform issues, payment issues, safeguarding concerns, or circumstances beyond our reasonable control.

Where possible, we will communicate any significant delay and provide a reasonable way forward.

29. Technology and Online Access

Online coaching depends on technology, internet access and third-party platforms.

Venus Health Academy is not responsible for your internet connection, device issues, platform access problems, email problems, missed links, software problems, or technical issues outside our control.

If you are unable to attend due to your own technical issues, the session may still be treated as used.

30. Limitation of Liability

Nothing in this Agreement excludes or limits liability where it would be unlawful to do so.

Subject to that, Venus Health Academy is not liable for:

  1. indirect loss;
  2. loss of income, business, opportunity, profit, data, or reputation;
  3. personal health decisions made by you;
  4. failure to seek medical advice;
  5. misuse of guidance, protocols, supplements, foods, practices, or materials;
  6. outcomes affected by incomplete or inaccurate information;
  7. third-party products, services, supplements, practitioners, platforms, links, or recommendations;
  8. technical issues outside our control;
  9. events beyond our reasonable control.

Our total liability, where liability cannot be excluded, is limited to the amount paid by you for the specific coaching service giving rise to the claim.

31. Changes to This Agreement

Venus Health Academy reserves the right to update, amend, replace, or change this Coaching Agreement at its discretion.

The latest version will be published on our website or provided to clients where appropriate.

Your continued use of our services after changes are made means you accept the updated Agreement.

32. Governing Law and Jurisdiction

This Agreement is governed by the laws of England and Wales.

Any dispute or claim arising out of or in connection with this Agreement, coaching services, purchases, sessions, protocols, memberships, courses, downloads, events, or use of Venus Health Academy services shall be subject to the exclusive jurisdiction of the courts of England and Wales.

33. Client Agreement and Acceptance

By booking, purchasing, attending, accessing, or participating in Venus Health Academy coaching services, you confirm that:

  1. you have read and understood this Agreement;
  2. you agree to follow the communication boundaries;
  3. you understand that coaching is educational and holistic, not medical treatment;
  4. you understand that Venus Health Academy does not provide emergency support;
  5. you understand that all purchases are non-refundable, except where required by law;
  6. you accept responsibility for your own health decisions;
  7. you agree to behave respectfully;
  8. you agree not to share or misuse Venus Health Academy materials;
  9. you agree to the laws of England and Wales governing this Agreement.

By using our Coaching Services and Products you confirm that you have read, understood and agree, to the Venus Health Academy Coaching Agreement.YouI understand that coaching is educational and holistic in nature, not medical treatment, and that all purchases are non-refundable except where required by law.”
